Email/Calendar program O365 Configurations (Thunderbird, IMAP, Apple Mail, etc)

This page details the changes that are needed to your email programs to connect to O365 instead of Zimbra.  If you have any questions or concerns, please contact the IT Division Help Desk.

IMPORTANT:  The IT Division is actively supporting the Outlook web application.  Any other email clients will be self-supported, however, we will do our best to assist with self-supported applications as time permits.

Zimbra Web Client Users:

Your email (Inbox and all folders) will be migrated into O365.  To access your email in O365:

  • Point your browser to https://portal.office.com
  • Your Sign In is: username@jlab.org
  • You will then be redirected to a JLab MIS webpage where you will put in your CUE username and password.
  • You will need to go through a few first time clicks.
  • Click on the Outlook Icon.

You will now see your Inbox and all the folders you had in Zimbra.

Thunderbird Users:

Below are the changes you will need to make to your Account Settings:

Server Settings:

  • Server Name:  outlook.office365.com
  • Port 993
  • Username:  username@jlab.org
  • Connection Security:  SSL/TLS
  • Authentication Method: Normal Password
  • Advanced Settings box
  • Uncheck “Show only subscribed folders”

Synchronization & Storage

  • Uncheck “Keep messages for this account on this computer”

Outgoing Server

  • These settings do not need changed, but should be:
  • Server Name: smail.jlab.org
  • Port: 465
  • Connection Security: SSL/TLS
  • Authentication Method: Normal Password
  • User Name: <your username> (no @jlab.org)

Import JLAB CRT  (www.jlab.org/PKI)

  • Click the link above and follow the instructions to save the JLabCA.crt file on your desktop and then import it into Thunderbird.

Configure to not use Proxy

  • Tools -> Options -> Advanced -> Network & Disk Space -> configure how Thunderbird connects to the internet -> Select “no Proxy”, hit OK

Outlook Desktop Application Users:

  • Go to File > Account Settings
  • From the Email tab, select New…
  • Keep the E-mail Account radio button selected
  • Fill in Your Name, E-mail Address (username@jlab.org), and your Password
    • Outlook will then automatically configure your settings since you have an O365 account via your JLab account
    • A prompt may appear for Autodiscover (www.jlab.org/autodiscover...)
      • Check box beside Do Not Show again and click OK
  • A Congratulations message should appear and all setup options should have a green check (if not, contact helpdesk)
  • Select Finish button and you will be prompted to restart Outlook
  • Close E-mail Accounts box and close Outlook application

When you reopen Outlook, the program will take several minutes to open for first time use.  In the folders pane, you will have an O365 Inbox at the top and your Zimbra Inbox below.  We recommend that you expand your O365 Inbox and collapse your Zimbra Inbox.

Apple Mail Users:

  • Open Mail
  • Go to “Mail” Menu and select “Add Account...”
    • This should open a sub-window with the title “Choose a Mail account provider…”
  • Select “Exchange” and click “Continue”
  • Your name will be auto-filled
    • Provide your complete JLab Email Address (username@jlab.org) and click “Sign-in”
  • Click “Sign In” at the prompt to sign into your exchange account using Microsoft
  • Select “Work or School Account" at the Microsoft branded page.
    • You will be redirected to enter your CUE credentials on a JLab MIS webpage
  • Select the apps you want to use with this account (this can be changed this later if needed) and click “Done.”

Mobile Device Support

Outlook App. 

  • Setup with username@jlab.org account.
  • Must enable “Restrict to GCC accounts”  GCC stands for Government Community Cloud.
  • WARNING -- if you have previously used the Outlook App for personal accounts – you will need to delete those accounts before enabling GCC.  The GCC setting is for the whole Outlook App – you can not have GCC and non-GCC accounts at the same time.

Native Mail Apps

  • If you are currently using a native mail to get calendar notifications from Zimbra, you can not use the apps to connect to both zimbra and O365 at the same time.  You will need to choose which service you want to connect to.  If you choose O365, you will not get calendar notifications (because meetings are not in O365 at this time)
